What AI tools does a small business need? Accounts, data, connections and cost
Most small businesses need just four things: a business (not personal) AI account for everyone who uses it, a tidy shared folder of the facts AI should work from, a few approved connections to your email and files, and maybe one automation tool. For a team of five, that usually costs between about $35 and $220 a month at October 2026 list prices, depending on whether you use the AI built into the email suite you already pay for or add a separate assistant.

Haven't picked a first task yet? Start with How can I use AI in my small business?.
Before you start
You need:
- Admin access to your Google Workspace or Microsoft 365.
- One person to act as AI admin, and a company card.
- A list of who will use AI, for which task.
- Your price list, services, policies and common customer questions.
Rough cost: $0 to $25 per person per month, plus $0 to $70 a month for automation.
Rough time: One afternoon for accounts and settings, plus one to two days to clean up your documents.
The four layers of your AI setup
Step-by-step setup
1. Check what AI you already pay for
As of October 2026, Google Workspace Business Starter includes Gemini in Gmail and the Gemini app, and Business Standard adds Gemini in Docs, Sheets, Drive and Meet. Microsoft 365 Business Basic includes Copilot Chat, and the "with Copilot" plans add Copilot in Word, Excel and PowerPoint. The AI you already pay for may cover your first task.
2. Choose one general assistant, on a business plan
Pick one team assistant on a business plan, for:
- Training defaults. OpenAI and Anthropic say business plans aren't used to train models by default. Personal ChatGPT plans may be, unless each person turns it off.
- Admin control. You decide which connections are allowed and remove people when they leave.
- Shared work. Staff can share projects privately inside the company.
Both need at least two paid seats, so a one-person business can start with its suite's built-in AI.
3. Set up seats and admin settings
- Invite staff with work email addresses only.
- Make two people admins so you're never locked out.
- Turn off connectors you aren't ready to use.
- On Claude Team, check "Rate chats": Anthropic keeps rated conversations up to 5 years.
- Keep a list of seats and costs.
4. Organize the business data AI will use
AI answers are only as good as the documents behind them. Create one shared "AI source files" folder with short, current documents:
- Price list: current prices, what's included, and the date it was last updated.
- Services and products: one paragraph each, in plain language.
- FAQ: the 20 questions customers ask most, with your real answers.
- Policies: hours, service area, refunds, warranties.
- Brand voice: a few lines on how you write, with examples.
Date each file. Keep HR, payroll, bank and health files elsewhere. Connected AI sees whatever the signed-in user can see, so sharing settings are your main safety control.
5. Connect your tools, one at a time
Connectors let the assistant read your email, calendar or files directly. As of October 2026:
- Claude connects to Gmail, Calendar and Drive once an Owner enables them, and asks before sending email or moving files.
- ChatGPT Business connects to Google Drive (on by default), Outlook, Teams and SharePoint; admins switch each app on or off.
- Gemini and Copilot sit inside their suites and only retrieve files the user can open.
Start with read-only uses like "summarize this thread." Add one connection per week. CRM connections vary by vendor and plan, so check your CRM's help pages first.
6. Add automation only when a task repeats
Automation passes information between apps: a form arrives, AI drafts a reply, the draft lands in your inbox. Test each workflow with five real examples first.
7. Build in a review step before anything goes out
Every workflow stops at "draft." A named person checks prices, dates, names and promises against the source files, fixes errors, then sends. Log repeat mistakes and fix the source document. See How do I know if AI is right?.
8. Review costs after 60 days

Use it safely
- Never paste passwords, bank or card numbers, Social Security numbers, HR records or health details, even on business plans.
- Training settings. OpenAI, Anthropic, Google and Microsoft say business plans don't train on your data by default. On personal accounts, turn off "Improve the model for everyone" (ChatGPT) or "Model Improvement" (Claude).
- Retention and exit. Google admins set how long Gemini prompts are kept (90 days or more). OpenAI says Business workspaces have no self-service export, so keep originals in your own drive.
- Verify facts against your source files before anything is sent.
- Ownership. OpenAI's terms say you own the output, and Microsoft doesn't claim Copilot output. But the U.S. Copyright Office says prompts alone don't earn copyright; your own edits and arrangement can.
- Health businesses: HIPAA generally requires a business associate agreement (BAA) with vendors handling protected health information. No patient data in AI tools until you have one. As of October 2026: ChatGPT Business isn't HIPAA-eligible; OpenAI's eligible options are ChatGPT Enterprise with Regulated Workspace, Healthcare, and the API with modified retention. Anthropic signs a BAA for Claude Enterprise once HIPAA is turned on, and for its API; Team isn't named. On Google Workspace, a super admin accepts the BAA in the Admin console under Account settings > Legal and compliance. Microsoft includes its BAA in its Data Protection Addendum by default and lists "Microsoft Copilot" as in scope; Microsoft Copilot Business is a Microsoft Copilot license, so it falls under that entry. Sign or confirm the BAA before any patient data goes in.

Common mistakes
- Personal accounts. Training may be on, and you can't remove access when staff leave.
- Overlapping tools. Copilot, Gemini and a separate chatbot for the same people triples the cost.
- Connecting everything on day one. One badly shared folder can expose payroll files.
- Old source files. Outdated price lists produce confident, wrong quotes.
- Automating the send button. Without review, a workflow will eventually send something wrong.
